01Who we are

Soltech Health & Wellness Ltd is the “data controller” responsible for your personal data in connection with this website. We are a company registered in England and Wales and registered with the UK Information Commissioner's Office (ICO) (registration pending).

02What this policy covers

This policy applies to personal data we process about visitors to our website and people who contact us — for example to request a demo, ask a question, or in the course of a business relationship.

It does not cover personal data processed inside the Solace Engine product itself (such as athlete wellness, wearable or performance data). Where a coach, gym or organisation uses Solace Engine to deliver training to their clients, that organisation is generally the controller of the athlete data, and our processing of it is governed by our separate customer agreement and product privacy terms.

03The personal data we collect

Depending on how you interact with us, we may collect:

• Enquiry & demo-request data — your name, work email address, the organisation you represent, your role, indicative roster size, and anything you choose to include in a message to us.
• Communications data — the content and metadata of emails and other messages you exchange with us.
• Technical & usage data — IP address, browser and device type, approximate location, referring pages and how you use the site. Some of this is collected via cookies and similar technologies (see section 5).

We do not seek to collect special category data (such as health data) through this website. Please do not send us sensitive personal information in a demo request or general enquiry.

04How we use your data, and our lawful bases

Under the UK GDPR we must have a “lawful basis” for each use of your personal data. We rely on the following:

• To respond to enquiries and arrange demos — on the basis of our legitimate interests in answering you and developing our business, and/or to take steps at your request before entering into a contract.
• To provide and improve the website and keep it secure — on the basis of our legitimate interests in running and protecting our site.
• To send marketing communications you have asked for or that are relevant to a business relationship — on the basis of your consent or our legitimate interests, as appropriate. You can opt out at any time.
• Optional analytics cookies — on the basis of your consent.
• To comply with the law and to establish, exercise or defend legal claims — on the basis of our legal obligations and legitimate interests.

Where we rely on legitimate interests, we have considered whether those interests are overridden by your rights and freedoms. You can object to such processing — see section 9.

05Cookies and analytics

Cookies are small files stored on your device. We use strictly necessary cookies that are required for the site to function and to keep it secure; these do not require your consent. Web fonts are self-hosted, so loading the site does not share your data with font providers.

We may also use optional analytics to understand how the site is used and improve it. We will only set non-essential cookies, or analytics that identify you, with your consent, and you can change your choice at any time through your browser settings or any cookie controls we provide.

06Who we share your data with

We do not sell your personal data. We share it only where necessary, with:

• Service providers (processors) who help us operate — for example website and infrastructure hosting (our site is served via Cloudflare), email, customer-relationship and analytics tools. They act on our instructions under contract.
• Professional advisers such as lawyers and accountants, where reasonably required.
• Authorities or other parties where we are required to do so by law, or to protect our rights, property or safety.
• A buyer or successor if we sell or reorganise our business, subject to appropriate confidentiality protections.

07International data transfers

Some of our service providers may process data outside the UK. Where personal data is transferred internationally, we take steps to ensure it is protected to a standard consistent with UK law — for example by relying on a UK “adequacy” decision, or by putting in place the International Data Transfer Agreement (or the EU Standard Contractual Clauses with the UK Addendum) together with any additional safeguards required. 08How long we keep your data

We keep personal data only for as long as we need it for the purposes set out in this policy, then delete or anonymise it. In practice:

• Demo and enquiry data is kept while we are in contact and for a reasonable period afterwards (typically up to 24 months) in case you re-engage, unless you ask us to delete it sooner.
• Data we are required to keep for legal, tax or accounting reasons is retained for the period required by law.

09Your rights

Under UK data protection law you have the right to:

• access a copy of the personal data we hold about you;
• have inaccurate or incomplete data corrected;
• have your data erased (the “right to be forgotten”) in certain circumstances;
• restrict or object to our processing of your data;
• data portability — receive certain data in a portable format; and
• withdraw consent at any time, where we rely on consent (this does not affect processing already carried out).

To exercise any of these rights, contact us at [email protected]. We will respond within the time limits set by law (usually one month). You can normally exercise these rights free of charge.

If you are unhappy with how we have handled your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to address your concerns first.

10How we keep your data secure

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss or misuse, and we limit access to those who need it. No method of transmission or storage is completely secure, but we work to protect your data and to meet our legal obligations.

11Children's privacy

This website is intended for coaches, businesses and other professional users, and is not directed at children. We do not knowingly collect personal data from children through this site.

12Changes to this policy

We may update this policy from time to time. The current version is shown by the “last updated” date at the top of this page; material changes will be reflected here.
